Privacy Policy

This privacy notice tells you how J Potts Logistics Ltd ("we", "us", "our") collects and uses personal data when you visit jpottslogistics.co.uk, apply for a driver role, or interact with our services. We're the data controller for the personal information described below, registered with the Information Commissioner's Office (ICO).

What we collect

• Application data: name, address, contact details, driving licence details, right-to-work documents, photos of your licence, and answers you give in the apply form.
• Driver data (if engaged): bank details for self-billing, UTR, contracts, rota & route history, vehicle assignment, performance metrics, incident reports, document expiry dates.
• Site analytics: aggregated, non-identifying page-view counts via Plausible Analytics. We don't use Google Analytics or advertising cookies.
• One functional cookie (`jpl-cookie-ack`) to remember you've dismissed the cookie banner. No tracking, no advertising.

Why we collect it

• Legitimate interest — running our operation, processing applications, paying drivers, providing the ops portal.
• Legal obligation — keeping records required by HMRC, the DVLA, and our carrier contracts.
• Contract — fulfilling our self-employment / sub-contractor agreements with drivers.

How long we keep it

Application data for unsuccessful applicants: 6 months, then archived or deleted. Active driver records: for the duration of engagement plus 6 years (HMRC retention). Incident records: 7 years. We delete or anonymise data sooner on request, where we're not legally required to keep it.

Who we share it with

• HMRC — for self-billing, CIS where applicable, and annual returns.
• Our carriers (DPD, DX, DHL, InPost) — minimum data required to scan onto their networks.
• Our hosting + email providers — Contabo (server hosting in Germany/UK), Resend (transactional email), Backblaze B2 (encrypted off-site backups). All processors are contractually bound by UK GDPR.
• We never sell personal data and never share it for marketing purposes.

Where it's stored

Primary storage on our servers in the UK and Germany. Off-site encrypted backups via Backblaze (US-based, with appropriate transfer safeguards). All data in transit is HTTPS-encrypted. Database access is restricted to authenticated admin / ops manager accounts.

Your rights

Under UK GDPR you have the right to access your data, correct it, ask for deletion (where legally permissible), object to processing, restrict processing, and data portability. Email admin@jpottslogistics.co.uk with "Data request" in the subject line — we respond within 30 days.

Complaints

If you're not satisfied with how we've handled your data, you can complain to the ICO at ico.org.uk. We'd appreciate the chance to put it right first — but you're not required to come to us first.
